Planning a School Picnic: A Teacher’s Checklist
School picnics are judged on one thing: did every child come back happy, fed and accounted for? Here is the checklist we share with teachers planning a visit to Xeno’s.
Two to three weeks before
Confirm the date and an exclusive slot so your group has the venue to itself. Send permission slips early and collect allergy and medical notes in the same form.
One week before
Finalise the headcount and meal plan. Decide your adult ratio — we recommend one adult per ten children, and accompanying teachers and helpers enter free at that ratio.
The day before
Remind parents about socks, a spare set of clothes and a labelled water bottle. Split the class into colour-coded groups; it makes headcounts at every transition trivial.
On the day
Arrive fifteen minutes early for the safety briefing. Run active zones first, break for the meal, then finish with quieter creative activities so children leave calm rather than overstimulated.
Before you leave
One last headcount, a sweep of the shoe racks and the lost-and-found box, and a group photo at the entrance for the school newsletter.
